Dear Joe:
Yesterday, we reviewed the facility, A Space to Place Storage, 4 Marshall Road, Wappingers
Falls, to determine whether the storage units available there would meet the town's needs for
interim inactive records storage. The units on the second floor, where there is the capability for
greater climate control, would be acceptable for this purpose.
Your short-term objective is to move the inactive records from the Carnwath Farms building
where climate control has been a major burden to the town budget, to the storage facility. The
storage facility will be used until a building for inactive records storage is erected on the Town
Hall property in the spring of 2015. The storage at A Space to Place Storage is anticipated for a
maximum of 6 to 7 months.
The major concern that I have is that the boxes of inactive records will be stacked on the floor of
the storage unit. I understand that this will allow the existing shelving at Carnwath Farms to be
reinstalled in the new inactive storage building and then the boxes of records reorganized in the
new building. Long-term storage of stacked boxes is not recommended and does not facilitate
retrieval of records when needed.
Joe, please know that in my capacity as Regional Advisory Officer for the New York State

retention and other records management issues.
