Cavaccini — Town Supervisor 20 Middlebush Rd Wappingers Falls, NY 12590 RE: FEE PROPOSAL FOR THE ARCHITECTURAL AND ENGINEERING SERVICES ASSOCIATED WITH THE DESIGN, CONSTRUCTION DOCUMENTATION, BIDDING, CONSTRUCTION ADMINISTRATION, AND CLOSEOUT OF A NEW PAVILION LOCATED AT THE BREXEL- SCHLATHAUS PARK IN WAPPINGERS FALLS, NY Dear Joseph, I appreciate the opportunity that the Town of Wappinger is offering our firm to provide Architectural and Engineering Services with respect to the design and construction associated with building a pavilion at the Brexel-Schlathaus Park. I appreciate the time you took to discuss the scope of the project with the Paggi's and myself on site and further look into our design ideas more recently at your office. I hope that upon review of this proposal you find that it includes everything that was discussed. We intend to provide the Town with an hourly fee structure associated with the full scope of our services. This proposal is based on the estimated time required to provide the Town with the Architectural and Engineering Services needed to Design, Create Construction Documentation, Bid, assist in Construction Administration, and Closeout the new pavilion prior to May 2025. With that as an assumption, our Scope of Basic Services includes and is limited to the rendering of the following professional services as follows: PRE -DESIGN PHASE: • Measure the existing site elements and existing conditions and prepare digital documents for in -office use in the development of this project; • Conduct an in-depth code analysis of the New York State Building and Energy Codes that would apply to the construction of the pavilion; • Provide the Client with a schematic estimate of Construction Costs associated with the intended work; Provide the Client with an estimated project timeline that can be used to gauge the progress of the project; Provide the Client with a preliminary set of design drawings to be approved prior to moving forward into Construction Documentation Phase. e845-592-9330 o ngafur@p2garchitecture.com 0 43 Broad Street, Suite 2 Fishkill, New York 12524 P2G ARCHITECTURE CONSTRUCTION DOCUMENT PHASE: Prepare construction documents and Project Manual based on current Master - Spec Specifications and the requirements set forth by the New York State Building Code; • Provide coordination for Structural Engineering, and Electrical Engineering services; • Provide the Client with a 75% and 100% Construction Document set for review and approval prior to going out to bid (major changes or redesign to project scope shall be excluded). BID PHASE: Assist the Owner in the bid process; Conduct an on-site Pre -Bid Conference producing and distributing meeting minutes; Coordinate any questions and answers that arise during the Bidding Phase; Revise any required drawings needed to clarify the scope of work to the bidders; Attend the Bid Opening and assist the Owner in bid evaluation, Contracts, bonding, insurance requirements, and the notice to proceed. CONSTRUCTION OBSERVATION PHASE: Conduct an on-site Pre -Construction Conference; Conduct field observations during the course of construction and inform the owner and contractor of inconsistencies between the construction and design; Attend Construction conferences to coordinate with the contractor what work is intended to happen and track progress; Attend Pre -Installation Meetings to coordinate work prior to starting; Review shop drawings, process requests for information, review payment applications, and issue field directives; • Prepare a Substantial Completion inspection punch list; COMPLETION PHASE: 0 Conduct a Final Inspection; Assist the Owner in closeout of the project; Assist the Owner in acquisition of the Certificate of Occupancy; Review submission of Product Warranties with the Owner. e845-592-9330 o ngafur@p2garchitecture.com 0 43 Broad Street, Suite 2 Fishkill, New York 12524 P2G ARCHITECTURE Fees will be invoiced monthly on an hourly basis. For the above outlined Scope of Basic Services, the following estimated costs are provided to better help the Town Budget for the services we are providing: 1. Pre -Design Phase: $09,390* 2. Construction Document Phase $21,450* 3. Bid Phase $04,770* 4. Construction Observation Phase $26,360* 5. Completion Phase $03,160* 6. Electrical Engineering Fees $10,000 7. Structural Engineering Fees $19,500 8. Civil Engineering Fees $05,000 Total $99,630* *These costs are based on the estimated time we believe it would take to complete each phase. Should additional time be needed we will continue to bill at our hourly rate based on the attached rate schedule. All Engineering fees and coordination are a fixed cost and are not subject to change unless there is a change in scope or additional services are required. This fee is predicated on a construction budget of $750,000, but addresses the programmatic goals set forth by the Town based on discussions to date. Please note that our proposal can be tailored to work within the confines of a stricter budget if needed. Please do not hesitate to call should any questions arise in your review of this proposal.
