JOB SUMMARY:
Perform secretarial, clerical, phone and counter functions associated with the operation of the
Town Clerk's Office; attend all Town Board meetings and public hearings and maintain records
of actions and minutes books. Perform duties of the Town Clerk in the absence of the Town
Clerk.
ESSENTIAL JOB FUNCTIONS:
100% Attend all Town Board Meetings, Public Hearings, Bi-monthly Workshop Meetings and
Special Meetings and record. Transcribe, summarize, and prepare official minutes of all
meetings. Furnish copy of minutes to the Town Clerk for approval; distribute when
approved. Print hard copies to be filed with the Town Clerk. Prepare a synopsis of Actions
that were taken at Town Board meetings and distribute.
File all correspondence from Town Board Meetings, Public Hearings, Bi-monthly
Workshop Meetings and Special Meetings. Provide copies of official minutes and other
public documents as requested.
File all local laws that have been adopted at Town Board Meeting with Secretary of State
and distribute copies of Local Laws to all other parties involved. Send copies of Local Laws
to General Codes for codification.
Notify Alcohol and Beverage Control Board of all applicants applying for or renewing
Liquor Licenses that have been accepted by the Town Board.
Refer all applications for change of zone to the Planning Board, Town Planner and County
Department of Planning for review and recommendations.
Notify all applicants filling vacancies in the Town of appointments approved by Town
Board.
Enter names and numbers of all Handicap Permits that are issued into the computer.

Provide assistance to customers at counter- Issue and collect fees for a variety of
applications, licenses and permits. Respond to questions, comments, and complaints.
Bids- Sale of Bid Specification. Collect monies for bids, disperse to builders. Collect bids
when due. Assist Town Clerk
Telephones- Answer phones, act in the capacity of receptionist and direct various calls to
other departments.
Elections- Send letters to all facilities that will be needed for polling places, reminding them
that they have been designated for the upcoming elections. After the election, send vouchers
to be filled out for the use of those facilities. Contact Election Inspectors reminding them to
pick up bags for upcoming elections.
Register- Collect all daily money from counter work and other departments. In the absence
of the Town Clerk, total out cash register at end of day.
Mail- Stamp all outgoing mail for the Town each day and take outgoing mail to the Post
Office. Send out Town Board's mail twice a week. Handle any breakdown of mailing
machine. In the absence ofthe Town Clerk, pick up incoming mail.
Banking- In the absence of Town Clerk, make bank deposits.
Provide backup assistance as needed, such as attending ZBA meetings and taking minutes.
SUPERVISORY RESPONSIBILITIES:
The Deputy Town Clerk #2 does not have any supervisory responsibilities.
PHYSICAL ACTIVITIES AND REQUIREMENTS:
Ability to stoop, kneel, crouch, reach, sit, stand, use fingers, grasp, talk, and perform repetitive
motions. Ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force
frequently or constantly to lift, carry, push, pull or otherwise move objects.
MINIMUM QUALIFICATIONS:

Pursuant to Section 521 of the Judiciary Law, jurors are entitled to a $40.00 PER DIEM unless they receive
