Letter from the Grace Bible Church to Nancy Cito praising our Community Day and thanking us for a wonderful day. 2. Letter from the Town of LaGrange, passed along to us by the Town Clerk, announcing a Town Board meeting to discuss Recreation Fees. Copies were given to Ralph and Skip. 3. The Recreation Office received a phone call from Frank Paulo of the New Hackensack Fire Co. stating that on Sunday, October 8th the company will be having a drill and will be closing off Route 376 for approximately 2 hours, affecting traffic to Airport Park. There will be no access to Airport Park from New Hackensack Road. They were asked to call Bruce Lustig so that he might notify Soccer. 4. Summery of the Town Board meeting of Sept. 25th (Resolution #217) appointing Meera Dave as a Recreation Commission Member. 5. A Maintenance application was handed in by Richard A. Traver with interest in lawn maintenance. Copies given to Ralph Holtand Bob Sheridan. 6. Memo from Graham Foster stating that gas pumps at Highway are out-of-order and our vehicles must be taken to Lukoil on Route 9. OUTGOING CORRESPONDENCE 1. Letter to Supervisor Ruggiero from Joe Ennesser about the hiring of Al Ford as the new caretaker of Reese Park. He will replace, Tim Doyle, the previous caretaker. 2. Letters to Susan Iannucci of Boy Scout Troop 56 and Althea Richards of the Hudson Valley Council Band accompanied checks to these organizations for $518.30 as their portion of the Inflatable Ride money collected at Community Day. The same amount was deposited into Acct. B-2089 for the town. Also deposited to the same account was $800.00 from the Hudson Valley Shows for their Carnival Games at Community Day. 3. Letters from Skip Rottkamp to Louise Rose, Kim Allen and Jackie Smith for the excellent jobs they did at the Summer Playground Program. / 4. The meeting was called to order at 7:00 PM by Chairman Ralph J. Holt with the following persons present: Skip Rottkamp, Recreation Director, Nancy Cito, Senior Center Director, Bob Sheridan, Maintenance Supervisor and Commission Members Joe Ennesser, Ellen Korz, Gary Trudell, Bruce Lustig and Meera Dave. Minutes were approved for August 2006 with no corrections necessary. Mrs. Meera Dave, our newest Commission member was introduced, once more, to the Commission Members. INCOMING CORRESPONDENCE: 1. Letter from the Grace Bible Church to Nancy Cito praising our Community Day and thanking us for a wonderful day. 2. Letter from the Town of LaGrange, passed along to us by the Town Clerk, announcing a Town Board meeting to discuss Recreation Fees. Copies were given to Ralph and Skip. Our fee from builders right now is at $5000. 3. The Recreation Office received a phone call from Frank Paulo of the New . '. ~",i," - ""I:r',;- ~ ELLEN KORZ'S REPORT Mrs. Korz began by updating the commission on the status of our Halloween plans. There are still several stores that have not replied to our request for donations. Mrs. Cito said that A.C. Moore is willing to do a "Make & Take table" for children to use during the registration period from 1 :30 to 2:00 PM. Jason Erney, the manager of A.C. Moore, has asked to join our judging panel as a "warlock". Mr. Holt wanted to make sure that none of the other witches would mind him joining them. The prizes that have been accumulated will be set up at Schlathaus, in advance, in age appropriate groups to eliminate any last minute confusion. Ned Gelfars will be the performer for the Halloween Parade. Hannaford's was very generous to give us a $75 gift card which we will use to buy additional prizes and goodies for Halloween. The prizes will be set up at 10:00 AM on Sunday, Oct. 29th. In case of inclement weather the parade will be held at Myers Comers School. Mr. Holt addressed Mrs. Dave explaining the responsibilities of our Commission members and how she will receive information on what would be expected of her. GARY TRUDELL'S REPORT Mr. Trudell has nothing to report at this time. BRUCE LUSTIG'S REPORT Mr. Lustig reports that the graffiti is back at Spook Hill. Mr. Sheridan will take care of it. ,-~\ ,.i..:l , 2 Recreation Commission Meeting Wednesday, October 4,2006 MAINTENANCE SUPERVISOR'S REPORT Mr. Sheridan began by outlining what has been done and what still has to be done in the Emergency Services Building. The locks have to be replaced on most of the doors because the keys were not returned to us by the former tenant. One of the overhead doors came off the tracks when it hit the edge of the soda machine. The safety box was also ripped off the adjoining door. New modules and belts have to be ordered to put doors back in working condition. Ceiling and access panels have been completed in the storage room. Today, John Ossenkop replaced the handicapped faucet in the downstairs bathroom. . ..', ,~ At Carnwath, the four rooms in the Administration Building have been set up with desks, chairs and file cabinets. The conference room ceiling has been repaired and painted. The mansion roof needs immediate attention. The water damage is a real concern. Mr. Holt indicated that the Supervisor is hoping to do a quick fix on the roof with more permanent work to be done, hopefully, in the spring. The gutters are being redone and moved to the outside of the building to prevent further water damage to the chapel. There is a ladies room in the Museum hallway that also needs repair. Fourteen bricks were falling out from around the back door at the mansion 'arid we cemented them back in. New wood has been put over the windows where the porch was taken down so that it is now winterized. Bottini was out to do the regular service on the boilers. A new boiler will be needed for the dormitory building at a cost of $25,000. Mr. Sheridan said he would be getting three estimates. One from Bottini, one from Wolfe and he is' not sure who the third estimate will come from. Maintenance has spent 2 days chipping-up downed trees and cutting down others to clean up the area before winter. A 5000 gallon delivery of heating oil was received in September in time for the cold weather. At the Town Hall, Anthony now has the Dodge truck to be used for opening and closing the gate at Camwath. Maintenance has started to remove and clean out the heating vents in the Town Hall and will use this project for rainy days. The flush valve was repaired in the men's public toilet. It ran all night and used 5000 gallons of water. The whole Maintenance crew attended a meeting concerning Safety and MSDS sheets necessary for all chemicals. A dead tree was taken down that hung over the Bocce court to eliminate the possibility of any branches falling when the Seniors were using the court. John Conception, a Senior at RCK, is doing five hours of Community service with us. He will work in the Town Hall. A complaint was received by the Recreation office stating that the grass T>eliihd . 206 All Angels Hill Road and around Applesauce Pond was very over grown. Mr. Sheridan went out the following day and mowed, but explains that when that land is wet after a lot of rain it's impossible to mow. The boat docks at Chelsea needed to be repaired. Someone drove into the double gate at the Barn, it was repaired. The grass at Quiet Acres has gotten out of hand because of the wet weather, but is now dry enough to mow. The tennis courts on Montfort Rd. . .-. -~~+ 3 Recreation Commission Meeting Wednesday, October 4,2006 will need repairs before the new season begins. The old roof from the Robinson Lane dugout has been discarded and the new dugout painted along with several other dugouts Twenty shingles were replaced on the Snack Bar roof and we tarred around the chimney. At Castle Point the ball field was York raked and replaced 14 shingles on the pavilion. Arrangements need to be made for the opening and closing of Carnwath for the winter months. Several options were discussed. No final decision was made. JOE ENNESSER'S REPORT The roof for the new dugout should be started next week and vouchers have been generated for top fill and top soil to fill in around the new dugout. Mr. Ennesser checked the Emergency Services building and said the new carpet looks great. He suggests that we check the facility regularly. Mr. Sheridan received a copy of the lease from the Comptroller making Transcare responsible for everything inside that building. The lamp heads were not yet delivered for the lampposts at Robinson Lane. Reese park was vandalized again, only the toilet seat was ripped off this time. Mr. Ennesser would like to order cabinets for the bathroom in the administration building. He would also like to order 2 railing kits from Seating Solutions for the bleachers at Robinson Lane per our Safety Officer, Doug Haan. Mr. Ennesser asks for the use of the old fence at Robinson Lane to be used at Castle Point. Mr. Ennesser had a request from Penga Co. They want to use our docking area in Nov. to weld pipe, which they will then float down to Castle Point. The pipe will be used as part of Castle Point's air conditioning / cooling system. A bid package is being put together to present to Castle Point so the plans for this project are still in abeyance. Mr. Holt and Mr. Ennesser are preparing to move into their offices in the administration building at Carnwath. Last minute details are being attended to. The metal basement doors in the administration building still leak when it rains because the doors are below ground level. Mr. Ennesser suggests that a retaining wall be built around these doors. Mr. Ennesser also suggested that locks be put on all security gates that are now in place. If the same lock can be used on ALL the gates we will only need one key. Mr. Ennesser also requests another security gate be ordered to replace the broken one on Wheeler Hill Rd. Sixty people attended the Hudson Valley Ramble and fifty of them stayed for the lecture in the Sports Museum. It was a great success. RECREATION DIRECTOR'S REPORT ;1 Mr. Rottkamp's primary concern is whether the Town will be picking up custodial fees now applicable to our winter programs because of the austerity budget in the WCSD.. Mr. Holt said that the Supervisor agreed to the Town: paying for these expenses. The Supervisor has agreed to meet with the Recreation Commission on Oct 25th to discuss our financial situation. . .; ~,t ~.. ~.. 4 Recreation Commission Meeting Wednesday, October 4,2006 Mr. Rottkamp met with Frank Newman at the Chelsea Yacht Club to discuss the possibilities for a 2007 Summer Sailing program. These programs would be for youth and/or adults and sound very promising. Even though the Club has insurance, Mr. Holt suggests that we speak to Jack Peluse of Marshall & Sterling to find out the Town's liability, if any, in this. Costs for these programs would be $200 a week for the youth program and $350 a week for the adult program. This program would be handled like Golf, with checks going directly to the Yacht Club with no expense to the Town. Mr. Rottkamp needs chaperones for the bus trips to both Mohegan Sun and Radio City Music Hall. No volunteers at this time. Several trips had to be cancelled this year because, we think, of higher prices. Mr. Holt has indicated that the Supervisor is willing to consider subsidizing the bus portion of the trip charge for next year's trips. We have had a good response to our fall programs. Volleyball has 30 registered, Aerobics has 27 registered and Baton Twirling has just started this evening. The Annual Schlathaus Race was a success despite the inclement weather. ,\.., SENIOR DIRECTOR'S REPORT Mrs. Cito spoke to Joe Corrigan, a representative from the Grinnell Library, at Mr. Rottkamp's suggestion, and made arrangements to have him 'speak at the Senior Center. Mr. Rottkamp asked Mrs. Cito if Jeff Behnke made progress with the Seniors to determine programs that they might like to see included in the BOCES Contimiing \~ ' Education Program. Mrs. Cito explained that a focus group was set up and those participating gave him their input. It was suggested that this program include surrounding towns so as to defray the cost to the Seniors and that the classes be held at the Town Hall during regular business hours so that the Seniors would not have to travel long distances or at night. Mrs. Cito has been working with Mr. Rottkamp in the hopes of being able to mail out our Recreation Guides for 2007. To send out the guides first-class would cost $1.11 each. By getting a bulk permit it would cost $160 for the permit, $160 for the indicia and then only 25 cents each. Request for these funds are included in our budget request. Regina Waldron's 75th birthday party was a complete success with 110 people attending at the Hometown Buffet. The Senior's next party is at the Villa Borghese on October 27th for Halloween. October birthdays will be celebrated in the center on the 11 th with special guest Msgr. Martin from St. Mary's Fishkill. The AARP Defensive.privirig Course will be held on October 26th & 27th at a cost of only $10 to the Seniors. There will be a "Cookie Tasting" this Friday at the center sponsored Sweet Delights. Microsoft Word Computer Classes will be held on October 23rd & 25th. On October 13th the Hughsonville Fire Company will be at the center speaking to the Seniors 5 .. '. .;~., .~' 4.~~ Recreation Commission Meeting Wednesday, October 4,2006 about fire prevention. They will be giving away free smoke detectors to anyone who needs one. There is a group, like Habitat For Humanity, that will do household repairs for seniors who's income make them eligible for this program. Mrs. Cito has this information if anyone is interested. And finally, the Senior's Annual Craft & Bake Sale will be held on Friday, October 20th. All are welcome to attend. CHAIRMAN'S REPORT Mr. Holt, speaking to Meera Dave, hopes that all that has been discussed is not too daunting. With time she will come to know locations, personnel, etc. The budget, as requested by our department heads, has been put into the computer and has become part of our budget request for 2007. Some very large items have been requested for the coming year. Among them $90,000 to re-do the Tennis Courts on Pye Lane, $25,000 to $30,000 for a new truck for Maintenance, a new Large mower for bigger jobs like Carnwath, $30,000 for new playground equipment and a new first base dugout for Holt Field on Robinson Lane. Community Day was a complete success, despite the incident that occurred. All workers from Community Day will be thanked properly at a small luncheon, tomorrow, at Schlathaus Park at noon. Mr. Holt met with Chef Charlie Barola and the town lawyers to determine what the Town will be responsible for and what Mr. Barola is willing to do to make it feasible to use Carnwath as a catering facility. Mr. Barola is willing to spend about $100,000 dollars in restoration in the chapel alone. It is hoped that the roof on the mansion will be fixed before any dates are set for catering as it would be very disruptive to any event being held there. ADT will be the company that will be used for our security system at Carnwath and eventually other properties. Protection One is the company that monitors our .. systems already in place at the Barn, Schlathaus Park, Airport Park and Robinson Lane.
